The problem

You already tried this.

You asked it to write an email. It came back sounding like a brochure. So you rewrote it - which took about as long as writing it yourself.

Everyone tells you the fix is better prompting. Learn the formula, memorise the framework. I think that's the wrong lever, and it's why people give up on this. AI writes like a brochure because you only reach for it once you're already stuck, and it knows nothing about you. Set it up once, so it knows how you sound and what's true about your business, and it drafts like you instead.

What we cover

Three things, in 45 minutes.

Demo-led. For most of the session I'm sharing my screen inside ChatGPT, doing each step on a real enquiry, so you can see exactly what it looks like rather than hear it described.

Tell it who you are, once

Set up a project in ChatGPT or Claude that knows how you write and what's true about your business: your prices, what's included, what you don't do. Twenty minutes, one time, and every draft after that starts from there.

You might have seen this called custom instructions.

Save the thing that worked

When a draft finally comes out right, that's an asset. Most people close the tab. Three ways to keep it, from a named chat per job up to a saved block you paste, so you never start from a blank page for the same task twice.

Connect it to your email and your files

Stop copying and pasting. Connect the official integration for your inbox so it can read the enquiry and draft the reply where you are. And which things to deliberately leave out: nothing with clinical notes or health records, and it drafts, it never sends.

People running a practice on their own.

This is for you if

  • You're a coach, doula, counsellor, practitioner, VA, or you run a service business by yourself
  • You do your own admin and the emails are eating a real chunk of your week
  • You've tried ChatGPT and found it generic, or a bit useless, or slightly unnerving
  • You're competent and time-poor and would rather see it done than be told about it

Probably not for you if

  • You want AI to send things automatically without you reading them. Everything here still comes to you, and you still press send
  • You're after a deep dive on the technology. This is about your Tuesday afternoon, not the models
  • You've already got a working setup you're happy with. In which case, send this to someone who hasn't

Questions

Do I need to be technical?

No. If you can write an email and open a website, you can do everything in this session. There's no code and no settings menus you'll need to remember.

Do I need a paid ChatGPT or Claude account?

No. Everything in the first two parts works on the free versions. Part three, connecting your email, is easier on a paid plan, and I'll say clearly which bits need one so you can decide later.

Is it recorded?

Yes. Register even if you can't make the time and you'll get the replay and the one-page sheet the same afternoon.

Is my client information safe?

We'll talk about this properly in part three. Short version: connect one thing, not everything; official integrations only, logged in by you; nothing with clinical notes or health records in it; and it drafts, it doesn't send. You're not being paranoid asking.

Is there a catch?

It's free, and it's genuinely useful on its own. At the end I'll mention a paid small-group session for people who'd like this built on their business with me in the room. If that's not you, take the sheet and go.
